The Accounts Payable/Purchasing Clerk & Receptionist, under the general direction of the General Manager of MPN, performs all administrative receptionist duties for management personnel to ensure that internal and external customers get prompt responses to their inquiries and that the proper individual is alerted to any matter for which he/she is responsible; all accounts payable invoices to ensure that business functions are carried out in an efficient and cost effective manner.
The Accounts Payable/Purchasing Clerk & Receptionist reports directly to the General Manager of Mission Plastics North.
This position interfaces with management team members, vendors, and other company associates.
Duties:
Sending incoming calls to the appropriate individual or department Greeting visitors, determining their needs, and assisting them in making contact with the appropriate individual Receiving and distributing incoming mail to ensure it reaches its proper destination Collecting outgoing mail and distributing to the internal mail system Purchasing non-MRP (Manufacturing Resources Planning) items for assigned departments in a cost-effective manner Conducting interviews with vendor representatives to establish primary and secondary sources of supplies and to provide assurance that supplies are being purchased in a cost-efficient manner Negotiating contracts with non-MRP vendors to obtain the best quality at the lowest price Expediting and tracing supply orders, as required, to support production needs Entering and maintaining pricing information in a CMMS (Computerized Maintenance Management System) for supplies to establish accurate cost standards Updating and entering non-MRP items into the system to allow the company to accurately track receipts and evaluate suppliers Handling return of inaccurate supplies, to ensure that the company gets proper credit and/or replacements in a timely manner Matching receipts with invoices, verifying data, and preparing invoices for payment Preparing and coding expense accounts and miscellaneous shipping documents (e.
g.
, sample parts & returned items) to make sure expenses are charged to the appropriate department Mailing accounts payable checks and maintaining check backup files Preparing short and long-form purchase orders
Experience:
- Above average ability to deal effectively with both internal and external customers - Previous experience as an Accounts Payable Clerk or in a similar role is preferred - Effective oral and written communication skills - Ability to perform mathematical functions - Detail orientation and ability to work with limited supervision - Previous experience as an Accounts Payable Clerk or in a similar role is preferred - Strong clerical and organizational skills are essential - Knowledge of office management procedures and basic accounting principles - Ability to handle confidential information with discretion - Excellent attention to detail and accuracy in data entry - Strong communication skills, both written and verbal - Ability to work independently and meet deadlines EDUCATION AND EXPERIENCE MINIMUM REQUIREMENTS - High School education, or equivalent - Minimum of 4 years of experience in accounts payable and office administration.
Familiarity with accounts coding.
Also, experience with periodic accounting reports or equivalent.
